On the day: the Day-of website

The venue QR for each function. Guests find their table, you choose whether they see Vesavo's floor plan, and you can add your own chart or a menu as extra tabs.

On the day of your event, a QR code for each function opens a simple page with everything guests need for that gathering. This is the Day-of website. It is not the RSVP website — that one lives under Website, and guests open it from their personal link before the event.

Open Day of under Guest Experience to set a function up. If the event has more than one function, pick the one you're working on. Each function has its own pages. The colours and the banner are shared by every function.

The look

Primary colours the titles and buttons, secondary is the page background, and accent draws the borders. You can also put a banner across the top.

This is not your RSVP website. Editing Website does not change the Day-of site. Copy website theme copies the colours, and the hero photo as the banner, at that moment. Change the website afterwards and the Day-of site stays as it was. Restore the original look puts back the forest and cream, and removes the banner.

Find Your Seat

Guests scan the code, search for their name, and see which table they're on. Pop the QR code on a sign at the entrance and you'll save yourself a stack of questions.

This is name lookup. Turn it on for the functions where you'll use it, from the Day of page, from Features, or from the function's own Find Your Seat page. It does not change when you upload your own chart.

The floor plan guests see

After a guest finds their name, they can also see the floor plan you built in Vesavo, with their seat highlighted. That is on by default.

Turn it off when you want them to see only their table name — for example because you're showing a chart you designed yourself. The switch is called "Vesavo floor plan", on the Day of page and on the function's Find Your Seat page. They are the same switch. It only does something while name lookup is on, because guests open the plan after they find their table.

Uploading your own chart does not turn this off, and it does not replace name lookup. The chart is a separate tab. Who sits where does not change.

Hiding the whole plan is also different from hiding the chairs. On the floor plan itself, the seats control takes the chair dots off the plan, its PDF, its Canva export, and Find my seat. The guest still sees their own chair highlighted, or a ring around their table if that chair can't be drawn. Turn the seats back on from the same control.

Your own pages

A page is an extra tab on the Day-of site — a menu, a seating chart, a drinks list, or a short note. Add it from Day of and give it a short name (it has to fit on a phone tab).

A page is either photos or writing. Photos are one or more images on that one tab, in order — a menu is several images, not a tab per photo. Writing is plain text. A blank line starts a new paragraph, the same way it does on the RSVP website. It is not a section of that website, and it is not HTML.

You choose the order of every tab, including Find Seat, Camera and Gallery. A menu can sit before the camera. Use the arrows. Turning something off still hides it, wherever it sits: guests skip a tab that is off, an image page with no image, or a text page with no writing.

Anyone with the venue QR can open a page, so don't put anything on it you wouldn't put on a sign.

A few limits:

• Photos are PNG, JPEG, WebP or HEIC. A PDF isn't accepted — open it and save or screenshot each page as a PNG or JPEG, then upload those.
• Up to 8 pages on a function, and 6 images on a photo page. Writing can be 5,000 characters.
• These pages are not a feature you turn on from Features. The Day of page is always there.

Guest Check-in

Check guests in as they arrive — from your phone, or by letting them check themselves in. Handy for knowing who's actually turned up versus who said they would.

Sort the list by name, by table, or by guest group. Table and group break it into sections, each with its own count — "5 of 10 checked in" — so you can see at a glance which table is still missing people. Combine it with Not arrived to list only who you're still waiting on, table by table; the counts in the headings still cover everyone. Guests with no table yet sit in their own section at the bottom.

Camera

If Guest Photos is enabled, the camera and gallery are tabs on the same Day-of website. Your own pages share that site. The Day of page can switch the camera on, hide it for the function you're editing, and switch the gallery on. Turning the camera on turns it on for every function; turning it back on does that again. Who approves photos, and the full list of functions, stay on Guest Photos.

QR codes

The venue QR on the Day of page opens the site on the first tab that's on. There are also QR codes that drop guests straight into Find Your Seat or the Camera. It's still the same website — if someone scans the wrong one, they can switch tabs. The different codes just make the right section easier to land on.

Customising the short URL

Find Your Seat and Camera QR codes use short vesavo.rsvp links. Open Links & QR (or the function's own Find Your Seat page), click Edit, and set a custom path of at least 6 letters, numbers, or hyphens. Each function can have its own path. Clara can set these for you, and she can add Day-of pages, reorder the tabs, write a text page, and flip the floor-plan switch. You still add the pictures yourself.
