Importing guests with Intelligent Import

Upload any spreadsheet — Vesavo's AI reads the columns and imports your guests in the background.

Vesavo accepts CSV (.csv) and Excel (.xlsx, .xls) files. You don't need to reformat your spreadsheet first — Intelligent Import reads your column headers and a few sample rows and works out which column is which.

How Intelligent Import works

  • Go to Guests and choose Upload, then pick your file.
  • The AI detects your columns — names, email, dietary requirements, groups and VIPs — and shows you what it found.
  • Review the mapping and confirm. You can adjust anything that wasn't quite right.
  • Your guests are created with their details filled in, and people are grouped automatically where the data makes it clear.

It runs in the background

Once you confirm, the import runs as a background job — so you can carry on setting up tables, functions or anything else while it works. You'll see live progress, and Vesavo emails you when the import is complete.

If a file would take you over your plan's guest limit, Vesavo shows you the parsed list so you can choose exactly which guests to import.

What columns are supported?

  • Name (required)
  • Group or family — used to seat people together
  • Dietary requirements — free text, e.g. vegetarian, gluten-free, halal
  • VIP flag — anything truthy (Yes, Y, 1, true)
  • Notes — any extra context, also used by Smart Seating
  • Any other columns are kept on the guest record as raw data

Tips for cleaner imports

  • Put one person per row — avoid "John & Jane Smith" in a single cell
  • Keep the first row as your column headers
  • For +1s that aren't named yet, leave the name blank and add a group — Vesavo creates a placeholder

Re-importing

You can upload another file at any time. Vesavo matches on name and email where possible and flags duplicates before anything is written.
