Understanding cost per guest

Cost per guest is the single most useful number in wedding budgeting — and the one most couples don't calculate until they're well into vendor negotiations. It strips away the big shiny numbers and lets you reason about real trade-offs: "is one extra guest worth $300 of additional spend?"

Some costs are fixed — the venue, the photographer, the dress, the florist. They don't change whether you have 80 or 180 guests. Other costs are per-guest — catering, drinks, place cards, favours. They scale linearly with headcount.

Typical breakdown

For an Australian or US wedding in 2026, a rough average looks like:

  • Venue hire — $5,000–$15,000 (fixed)
  • Catering — $130–$220 per guest (food & drink combined)
  • Photography & video — $4,000–$10,000 (fixed)
  • Florals & styling — $2,500–$8,000 (mostly fixed; centrepieces scale slightly)
  • Attire — $2,000–$8,000 (fixed)
  • Entertainment (DJ or band) — $1,500–$5,000 (fixed)
  • Cake — $6–$15 per guest

Why does cost-per-guest matter?

Because every couple at some point asks: "can we afford to invite a few more people?" The intuitive answer is "it's just one extra dinner". The actual answer depends on what's in your variable costs and how the venue's pricing tiers work.

Many venues have step-functions in their pricing — e.g. up to 80 guests is one fee, 81–150 is another. Crossing a threshold can add thousands of dollars even if you only invited 5 more people.

The 50/30/20 rule

As a starting target, allocate 50% of your total budget to venue and catering(the variable cost driver), 30% to photo, video, attire, florals, and music, and 20% reserved for everything else and a contingency cushion. Track your spend against this split as you make booking decisions.

Quick ways to lower your cost per guest

  • Move catering from plated dinner to family-style or shared plates ($30–$50 per guest saving)
  • Have the wedding on a weekday or Sunday (10–25% off most fixed costs)
