What does table and chair rental actually cost?
Rental pricing varies dramatically by region, even within the same country. The same Chiavari chair that's $4 per day in Sydney can be $10 in Manhattan and $2.50 in a regional US town. The estimator above gives you a planning range based on common 2026 metropolitan rates — actual quotes will depend on specific suppliers, peak/off-peak season, and how far in advance you book.
What's typically included in the rental
- Delivery and pickup — usually a separate line item, around $150–$500 depending on distance.
- Setup and teardown — sometimes included, sometimes extra. Always ask.
- Damage waiver — typically 5–10% of the rental subtotal; usually optional but worth it.
- Cleaning — linens are returned to the supplier dirty; cleaning is built into the rate.
What's NOT included
- Stairs or long carry — most rental contracts charge extra if items can't be wheeled directly from the truck.
- After-hours pickup — Sunday or late-night collection often costs 1.5–2× the standard rate.
- Loss or major damage — replacement cost is charged at retail value.
- Specialty linens — embroidery, velvet, sequin, or oversized cloths cost 2–4× standard linen rates.
How to keep rental costs down
- Bundle from one supplier — most rental companies discount 10–15% if you book everything together rather than splitting across multiple vendors.
- Use the venue's chairs — many venues include basic chiavari or banquet chairs in the room hire fee. Upgrade only if needed.
- Skip the speciality linens — standard cotton or polyester runners look excellent on a well-styled table. The marginal upgrade rarely shows in photos.
- Book early — popular items (gold chiavari chairs, signature glassware) sell out 6–9 months ahead in peak season. Late bookings pay rush rates.
- Mid-week pickup — if your event is Friday, ask if you can pick up Wednesday and return Monday for the same rate.
How many of each to order
- Tables — based on guest count ÷ seats per table, plus 2–3 extra for gifts, cake, sweetheart table, DJ.
- Chairs — match your max guest count plus 5–10% for ceremony / reception transitions and any drop-ins.
- Linens — one per table plus 10–15% buffer for spills and replacements.
- Glassware — 1.5 to 2 glasses per guest. Guests put down half-drunk glasses constantly, and you don't want staff washing during dinner.
- Plates — 1.5 per guest for a plated meal, 2.5 per guest for buffet or family-style.
