Working backwards from your wedding date

Wedding planning is fundamentally a scheduling problem. Almost everything has a lead time, and almost everything depends on something else being booked first. Working backwards from the wedding date — rather than forwards from "we got engaged" — is the cleanest way to organise the year.

Why 12+ months out matters

The biggest constraint in wedding planning is venue availability. In Australia and the US, popular venues for Saturday weddings in October–March (and April–September in the Northern Hemisphere) book out 12–18 months in advance. If you can be flexible on date, you have leverage. If you're locked into a specific Saturday, expect to fight for it.

Why the RSVP deadline is 60 days out

Most caterers and venues require final guest numbers 7–14 days before the event. That gives them time to order food, schedule staff, and prepare the room. Setting the RSVP deadline at 60 days gives you a 6-week buffer to:

  • Chase the inevitable late RSVPs
  • Finalise the seating plan
  • Submit final dietary requirements
  • Confirm transport and accommodation blocks
  • Print place cards, menus, and signage with confidence

Common pitfalls

  • Underestimating dress alterations — 2–4 months for major alterations, longer for custom gowns. Order early.
  • Custom rings — 8–12 weeks for engraving, sizing, and custom designs. Don't leave to the last month.
  • Stationery print runs — letterpress and foil-printed invitations have 4–6 week production times.
  • Marriage license — varies by country, but Australia requires a Notice of Intended Marriage at least one month in advance (and not more than 18 months).
  • Honeymoon visas — some destinations need 4–8 weeks for visa processing. Don't book trips without checking.

Shorter engagement? Compress the timeline

If you have fewer than 12 months, the rules don't change but the buffers shrink:

  • 6-month engagement — book venue and vendors in week 1, send save-the-dates in week 2, send formal invitations at the 3-month mark, RSVP deadline at 1 month.
  • 3-month engagement — accept that you'll have a smaller, more intimate event. Many vendors offer last-minute "fill" rates that are 20–30% off.
  • Elopement — most paperwork can be done in 4–6 weeks (Australia's one-month notice rule applies). The rest is logistics.

Sharing the timeline with your wedding party

Print this timeline and share it with your partner, your wedding party, and your coordinator. Sharing it explicitly avoids the resentment that builds when one person assumes the other is "managing it". Every milestone should have an owner.
