How to work out how many tables you need
Most wedding and event venues offer round tables that seat either 8, 10, or 12 guests. The simple formula is:
tables = ceiling(guest count ÷ seats per table)
Rounding up matters — if you have 95 guests and 10-seat tables, 9 tables only seats 90 people. You need 10 tables, even though one will only have 5 guests at it.
Which table size should you choose?
- 6–8 per table — feels intimate, good for small weddings and dinner parties. Conversation stays at one table.
- 10 per table — the most common choice. A good balance between conversation, dance-floor space, and venue cost.
- 12 per table — maximises the room, but conversation splits in half and the centre of the table feels far away.
Should I add a buffer?
If RSVPs are still coming in, add a small buffer (2–5 seats) so you don't have to rearrange the whole plan when a late "yes" arrives. Most caterers and venues need final numbers 7–14 days before the event, so the buffer should be set well before that.
