Finalise (or freeze) the seating draft you want to print

Exports reflect the current assignments. Before a big print run, fix open seats, spelling, and head-table layout. For early vendor drafts it’s fine to export a work-in-progress and mark it “draft.”

Open Exports for your event

In the Vesavo planner, go to Exports (or the export section for your event). Choose what you need: seating chart, place cards, run sheet, or other formats Vesavo offers for your plan. Pick the function if the event has more than one seated meal.

Choose layout options that match the venue

Select table order, name format, and any chart style options that fit how your coordinator works. Place cards usually need display names exactly as you want them spoken at the table — fix nicknames and double-barrel surnames here before you print 150 cards twice.

Download PDF or send to Canva

Download print-ready PDFs for the printer or venue, or open the Canva export path if you’re designing signage and invitations with Vesavo details already filled. PowerPoint-style exports are useful when a vendor insists on an editable file.

Share with the venue and vendors

Send the chart to the venue, stylist, and caterer with a short note on version and date. If dietary summaries are part of your workflow, export or share those alongside the seating chart so kitchen and floor team stay aligned.
